To make managing your online shop as easy as possible, let us look at your Seller Dashboard like a physical retail store. Each section on your digital screen is simply a different shelf or counter in your shop.

Here is every single feature available to you, explained in simple everyday language.

  1. The Main Counter (The Dashboard Home)

This is the first screen you see when you log in on your phone or computer. It gives you a quick snapshot of how your business is doing today.

  • The Money Board: Displays how much money you made this week, how much profit is yours to keep, and how many items you sold.
  • The Notification Bell: Flashes or shows a number whenever you get a new order, a customer message, or an update from the marketplace leader.
  1. The Storage Room (Products)

This is where you manage the items you want to show and sell to the world.

  • Add New Product: Click this to upload photos of your items, type in their prices, and write descriptions so customers know what they are buying.
  • Stock Control (Inventory): Allows you to type in exactly how many pieces of an item you have left (e.g., 5 sarees or 10 jars of honey). The system automatically stops selling when you run out.
  • Discount Coupons: You can create special discount codes (like “FESTIVE10”) to offer your customers a lower price during holidays to increase sales.
  • Product Add-ons: This allows you to offer extra options on a product page. For example, you can add a checkbox that says “Add Gift Wrapping for ₹20” or a text box for “Write custom name on the pottery box.”
  1. The Order Register (Orders & Shipping)

When a customer buys something from you, it lands right here. This is your active to-do list.

  • View Orders: Shows the customer’s name, phone number, and exactly what they bought.
  • Order Status: You can change this from “Processing” (meaning you are packing it) to “Shipped” (meaning you gave it to Speed Post or the courier).
  • Delivery Tracking: A small box where you type in the Speed Post or courier receipt number so the customer can see where their package is.
  1. The Cash Box (Payments & Withdrawals)

This feature handles your hard-earned money and moves it safely into your real-world bank account.

  • My Balance: Shows the exact amount of money the marketplace is holding for you from your completed sales.
  • Withdraw Request: A button you click to ask the marketplace leader to send your earnings directly into your bank account.
  • Payment Ledger: A clean digital diary showing the exact date and amount of every payment ever sent to your bank.
  • Refund Requests: If a customer asks for their money back because an item arrived damaged, those requests appear here so you can review them and coordinate with the admin to settle the issue.
  1. The Office Desk (Settings & Store Profile)

This is where you set up your professional business identity.

  • Store Setup: Where you upload your digital shop sign (Logo), your home/workshop address, and your phone number.
  • Store Policies: Simple boxes where you type in your promises about how fast you ship items and your rules for returns or cancellations.
  • Bank Management: The place where you save your bank name, account number, and IFSC code so you always get paid correctly.
  1. The Customer Lounge (Inquiries & Reviews)

Building a good reputation is the secret to a successful business. These features help you stay close to your buyers.

  • Customer Questions (Inquiries): A private messaging area where shoppers can ask you questions before they buy (e.g., “Is this cotton soft?” or “Can you make this in blue?”).
  • Stars & Reviews: Where customers leave star ratings and comments about your products. You can reply with a polite “Thank you!” to make your shop look friendly and trustworthy.
  1. The Progress Report (Analytics & Reports)

You do not need to do any math or bookkeeping; the system generates automated charts for you.

  • Sales Charts: Beautiful, easy-to-read graphs that show you which months you made the most money and which of your products is your absolute best-seller.
  • Store Visitors: A live counter that tells you exactly how many people clicked on and looked at your shop link today, even if they didn’t buy anything yet. This helps you see if your products are attracting attention!

  4. Keep Your Stock Real: If you sell an item to a neighbour in real life, immediately lower the count in your digital dashboard so online buyers don’t buy an out-of-stock item.

Step-by-Step Guide to Product Upload & Pricing

Uploading products and configuring pricing in is done entirely from the seller’s front-end dashboard. Follow this step-by-step process to add a new product and set its price, along with inventory and shipping details.

Step 1: Navigate to the Product Manager

  1. Log in to your Vendor Dashboard.
  2. On the left-hand sidebar, click on Products.
  3. Click the Add New (or Plus +) button at the top right of the product table.

Step 2: Choose Product Type and Name

  1. Product Type: Select your product type from the dropdown menu (e.g., Simple Product for basic items, Variable Product if you have items with different sizes/colors). You can also mark it as Virtual (no shipping) or Downloadable (e.g., PDFs).
  2. Title & Description: Enter a clear, SEO-friendly product title and add both short and long descriptions to explain what you are selling.

Step 3: Configure Pricing

Scroll down to the General tab to handle pricing details:

  1. Regular Price: Enter the standard price for the product.
  2. Sale Price: (Optional) Enter a reduced price if the item is on sale. You can even click the Schedule button to set specific dates for the sale to run.
  3. Tax Status & Class: Choose if the product is Taxable, Shipping only, or None, and select the correct tax class if applicable.

Step 4: Add Images and Categories

  1. Product Images: Upload a main Product Image (the main thumbnail) and additional images to the Product Gallery for different angles.
  2. Categories & Tags: Select the most appropriate category for your product on the right-hand side so customers can find it easily.

Step 5: Manage Inventory (Optional)

Click on the Inventory tab:

  1. Manage Stock: Check the “Enable product stock management” box if you want to track exact quantities.
  2. Stock Qty: Enter the number of items you have on hand.
  3. Allow Backorders: Decide if customers can still purchase if you run out of stock.

Step 6: Set Shipping Details (Optional)

If you are selling a physical product, click the Shipping tab:

  1. Enter the Weight and Dimensions (Length × Width × Height) of the package.
  2. Assign a Shipping Class if you have specific rates for different types of goods.

Step 7: Finalize and Publish

  1. Scroll down to the bottom and click the blue Submit (or Draft) button.
  2. Your product will be saved and submitted for the site administrator to approve, or published directly if your account permissions allow.

Shipping Guidelines & Shipping Setup for Online Store

Step 1: Your Store Address (Where you ship from)

Before you set your prices, the website needs to know where your business is located.

  1. Log into your Vendor Dashboard.
  2. Click on Settings and then click Store.
  3. Type in your correct, full address.
  4. This ensures customers see the right delivery choices based on how far away they live from you.

Step 2: Setting Your Shipping Prices (Zones)

A “Zone” is simply the area or region where you are willing to send your products.

  1. Inside your dashboard, go to Settings and click Shipping.
  2. You will see regions already created by this portal (like your state, country, or local region).
  3. Click Edit next to the region where you want to sell.
  4. Choose how you want to charge your customers:
    • Flat Rate (Fixed Fee): You charge one standard price for delivery (e.g., ₹50 or ₹5 per order).
    • Free Shipping: You do not charge anything for delivery. You can set this so it only applies if a customer buys a certain amount of goods (e.g., Free delivery for orders over ₹1,000).
    • Local Pickup: The customer drives to your shop or home to collect the item themselves for free.

Step 3: Adding Product Weight and Size

If you sell heavy items (like large jars of pickles or handmade pottery) or very light items (like earrings), you need to tell the system.

  1. Go to your Products page and click on a product to edit it.
  2. Scroll down and click the Shipping
  3. Enter the Weight (in kg/grams) and Dimensions (Length, Width, Height).
  4. This helps the system calculate correct delivery costs so you do not lose money on heavy items.

Simple Best Practices for Success

  • Keep Prices Simple: Customers do not like complicated math. Try using one flat delivery fee for small items, or include the shipping cost inside the product price and offer “Free Shipping.”
  • Write Clear Promises (Policies): Under your store settings, look for Store Policies. Write down exactly how many days it takes you to make and pack the item (e.g., “We pack and send all orders within 3 days”).

Courier Guidelines, Methods & Speed Post System

  1. Packing Your Items Correctly

The courier service will handle many boxes at once. You must pack your item so it does not break or get wet during the journey.

  • Use the Right Box or Pouch: Put small, non-breakable items (like clothes) in plastic courier pouches. Put fragile items (like jars or crafts) in sturdy cardboard boxes.
  • Protect the Inside: Wrap fragile items in bubble wrap, old newspapers, or clean shredded paper. The item should not move around when you shake the box.
  • Seal It Completely: Use strong, wide packaging tape to seal all open edges of the box. A well-sealed box keeps out dust and rain.

The shipping label is the piece of paper that tells the courier driver exactly where to take your package.

  • Paste It Flat: Tape the label flat on the top of your box. Do not put tape directly over the barcode, as the courier’s scanning machine might not be able to read it through shiny tape.

Whether a driver comes to your house or you drop the package off at a local courier shop, always protect yourself with proof.

  • Get a Manifest or Receipt Signed: Always print two copies of the order document (Manifest). When you hand the package to the courier person, ask them to sign or stamp your copy. This is your proof that you gave them the item.
  • Never Hand Over Open Boxes: The courier driver must receive a completely sealed box. They should never ask you to leave it open.
  • Check the Weight: Ensure the weight you entered on the website matches the actual weight of the package. If the package is heavier than what you wrote online, the courier company may charge you extra fees later.

The marketplace website needs to know the item is moving so it can inform the customer.

  • Enter the Tracking Number: If the portal does not update automatically, find the tracking number on your courier receipt. Type this number into your marketplace dashboard under that specific order.
  • Mark as Shipped: Click the button that says “Mark as Shipped” or “Dispatched.” This triggers an automatic text message or email to your buyer, keeping them happy and excited for their package

Indian Speed Post

Using the Indian Speed Post system through the Department of Posts (India Post) is one of the most reliable and affordable ways for rural and small-town entrepreneurs to ship packages across India. Since Speed Post is available at almost every local post office, it is perfect for small businesses.

  1. Packing for Speed Post Rules

The post office has strict rules about how packages must look before they accept them.

  • Cloth or Paper Covering: For cardboard boxes, India Post often prefers them to be wrapped neatly in plain brown paper or stitched inside a clean, white cotton cloth (especially for valuable or heavy items).
  • Use Strong Tape: Seal all edges with heavy-duty brown tape.
  • No Liquid Restrictions: If you are selling liquids (like pickles, oils, or liquid soaps), they must be packed in leak-proof inner containers, sealed with wax or strong tape, and placed inside a solid box packed with sawdust or cotton to absorb leaks.
  1. Addressing and Labeling Your Package

India Post uses manual sorting as well as digital scanning. You must write the information directly on the box, even if you printed a label from your marketplace portal.

  • Write Directly on the Package: Using a permanent black marker, write the addresses clearly on the package cloth or paper wrapper.
  • The “To” Section (Right Side): Write the customer’s full name, complete house address, mobile number, and their 6-digit PIN Code very clearly. The PIN code is the most important part!
  • The “From” Section (Left Corner): Write your own name, store name, full address, and your mobile number. If the package cannot be delivered, Speed Post will use this to bring it back to your home safely.
  • Attach the Marketplace Invoice: Fold the bill/invoice from your website portal, put it inside a clear plastic pouch, and tape it securely to the outside of the box.
  1. Booking at Your Local Post Office

You must physically take your package to the nearest post office counter.

  • Go Early: Visit the post office during booking hours (usually between 9:00 AM and 3:00 PM) to avoid long queues.
  • Weighing and Payment: The clerk will weigh your parcel. Speed Post charges you based on the weight and how far it is traveling (e.g., local, within the state, or across the country). You must pay the amount in cash or via UPI/Digital payment if that specific post office supports it.
  • Collect the Printed Receipt: The clerk will print a small receipt for you. Do not lose this receipt! It contains your official Tracking Number (which usually looks like two letters, nine numbers, and ends with “IN”—for example: EE123456789IN).
  1. Updating Your Online Marketplace Portal

As soon as you leave the post office, you must connect the physical receipt to your online shop.

  • Enter the Tracking Number: Log into your WCFM Vendor Dashboard on your phone or computer. Go to the order, click “Add Tracking,” and type in the exact tracking number from your receipt.
  • Select the Carrier: From the dropdown menu, select India Post or Speed Post.
  • Mark as Shipped: Save the changes. The website will now automatically let your customer track their package using the official India Post website.

Golden Rules for Rural Women Entrepreneurs Using Speed Post

  • Keep a Separate Shipping Cash Box: Since you have to pay the post office upfront out of your pocket before the marketplace website pays you, always keep a small box of cash reserved just for paying your daily Speed Post fees.
  • Take a Photo: Before handing the package to the post office clerk, take a quick photo of the fully packed box with the written address on your phone. This serves as your backup proof if there is ever a dispute.
  • Track Returns Weekly: If a customer is not home, Speed Post will hold the item at their local post office for a few days before sending it back to you. Check your online dashboard weekly to see if any items are coming back.

Bank Account Management

Managing your bank account details on Women’s Portal is how you ensure your hard-earned money moves safely from the website into your real-world bank account.

Here is a step-by-step guide written in simple language to help small business owners and rural women set up and manage their banking details securely.

Step 1: Where to Find the Bank Settings

To enter your bank details, you need to go to your private seller page.

  1. Log into your Seller Dashboard on your phone or computer.
  2. Scroll down the left-side menu and click on Settings.
  3. Inside the settings menu, click on the button that says Payment.

Step 2: Filling in Your Indian Bank Details

Under the payment options, you will see different ways to get paid. Choose Direct Bank Transfer (sometimes called NEFT or Wire Transfer).

Type your information very carefully into these boxes:

  • Account Name: Type your full name exactly as it appears on your bank passbook or checkbook.
  • Account Number: Type your bank account number. Double-check every single digit so your money does not go to the wrong person.
  • Bank Name: Write the official name of your bank (for example: State Bank of India, Bank of Baroda, or Canara Bank).
  • IFSC Code: This is an 11-digit code made of letters and numbers that identifies your specific bank branch. You can find it printed clearly on the front page of your bank passbook. (Example: SBIN0001234).
  • Bank Address / Branch Name: Write the name of the town or village where your bank branch is located.

Always click the Save or Submit button at the bottom of the page when you are finished!

Step 3: How You Receive Your Money

Once your bank account is saved, the marketplace administrator will send your earnings to you based on the marketplace rules. There are two common ways this happens:

  1. Automatic Payouts: The website leader automatically calculates your total sales and sends the money directly to your bank account on a fixed schedule (such as every Friday, or on the 1st day of every month).
  2. Withdrawal Request: You manually look at your dashboard balance. When you see you have money available, you click a button that says Withdrawal Request. The marketplace leader will see your request and send the money to your bank within a few days.

Safety & Best Practices for Women Entrepreneurs

  • Use a Business or Separate Account: If possible, open a separate bank account just for your online shop. This keeps your household expense money completely separate from your business earnings.
  • Keep Your Logins Private: Never share your seller dashboard password with anyone. Anyone who logs into your dashboard can change the bank account number to their own.
  • Check Your Passbook Regularly: Every time the marketplace portal says “Paid,” take your physical bank passbook to the bank or an ATM to print your updates and confirm the money arrived safely.
  • Update Immediately If Bank Merges: If your local rural bank merges with a bigger bank, your IFSC code might change. If this happens, update it in your vendor dashboard immediately so your payouts are not delayed.

  1. Product Safety Undertaking

I undertake that I shall not knowingly list or sell products which are:

  • unsafe;
  • expired;
  • prohibited by law;
  • counterfeit;
  • adulterated;
  • misleadingly labelled;
  • infringing intellectual property rights.
  1. Natural Wellness Products

Where I sell traditional herbal, natural wellness, beauty or personal care products, I undertake that:

  • I shall comply with all applicable laws.
  • I shall not falsely represent any product as a medicine unless legally authorised.
  • I shall not make misleading therapeutic or medical claims.
  • I shall accurately disclose ingredients wherever required.
  1. Food Products

Where I sell food products, I undertake that:

  • products shall be prepared and handled hygienically;
  • ingredients shall be correctly disclosed wherever applicable;
  • expiry or best-before dates shall be correctly mentioned;
  • FSSAI requirements shall be complied with wherever applicable.
  1. Service Directory Declaration

Where I list services through the Marketplace, I acknowledge that:

  • the Marketplace functions only as a Service Directory;
  • I operate independently;
  • I am solely responsible for providing the service;
  • I shall obtain all licences required for my services;
  • I shall comply with all applicable laws.

I further acknowledge that, unless expressly enabled by the Marketplace, online payments shall not be processed through the Marketplace for service transactions, and service arrangements are made directly between me and my customers.

  1. Intellectual Property Declaration

I declare that:

  • all product photographs, logos, trademarks and descriptions uploaded by me either belong to me or are used with lawful authority;
  • my listings do not infringe the intellectual property rights of any third party.
  1. Customer Responsibility

I undertake to:

  • honour confirmed orders;
  • dispatch products within the committed time;
  • communicate courteously with customers;
  • cooperate during returns and refunds;
  • comply with Marketplace policies.
  1. Zero Commission Policy

I understand that the Marketplace presently operates under a Zero Commission Policy.

I acknowledge that the Platform Membership Fee is separate from product sale proceeds and is not a commission.

I further acknowledge that the Marketplace reserves the right to revise its commercial policies after giving appropriate notice.

  1. Taxes

I understand that I am solely responsible for:

  • GST compliance;
  • income tax;
  • invoicing;
  • maintenance of accounts;
  • statutory filings;
  • all other applicable tax obligations.

I acknowledge that the Marketplace may collect or deduct statutory taxes, including Tax Collected at Source (TCS), where required by law.

  1. Indemnity

I agree to indemnify and keep indemnified the Marketplace, its promoters, directors, employees, representatives and affiliates against any loss, claim, liability, penalty, damage, cost or expense arising out of:

  • false declarations made by me;
  • defective or unsafe products;
  • misleading product information;
  • violation of law;
  • infringement of third-party rights;
  • breach of Marketplace policies;
  • my negligence or misconduct.
  1. General Undertaking

I further undertake that:

  • I shall comply with the Seller Agreement, Seller Policy, Seller Products & Services Policy, Terms & Conditions and all other Marketplace policies.
  • I shall not misuse the Marketplace.
  • I shall not upload prohibited products or services.
  • I shall cooperate with regulatory authorities whenever legally required.
  • I shall immediately report any suspected misuse of my Seller account.
